Billing problems

Unexpected charges, portal errors, refused seat changes, and a plan that has not updated.

Who this is for: Account owners and billing managers.

A charge you did not expect

ChargeMost likely explanation
$29 or $290 shortly after signing upYour trial converted. Trials require payment details up front and convert automatically unless cancelled first.
A partial amount mid-periodA seat increase, billed prorated and immediately for the rest of the period.
A charge after you cancelledCheck the date. Cancellation takes effect at the end of the period, so a charge dated before your cancellation is the one you already owed.
A charge from Paddle rather than ByteflareExpected. Paddle is the merchant of record for every Byteflare payment.

If it is genuinely wrong, and you are within 14 days of the initial paid charge, see Refunds.

The billing portal will not open

  • You are not the owner. Billing is owner-only and admins are told so explicitly.
  • There is no subscription yet. The portal only exists once a subscription has been created.
  • A temporary failure. Each portal session is requested fresh from Paddle. Wait a moment and try again rather than reusing an old address.

A seat change was refused

  • Below the active member count. Remove the members first; the error names the floor.
  • Payment failed on an increase. The change is blocked outright rather than half-applied. Update the card in the portal and repeat it.
  • You are not the owner. Only owners can change seats.

You paid but the plan has not changed

Plan changes are applied when Paddle notifies Byteflare, which is normally immediate but is not instantaneous. Reload the page. If the plan is still wrong several minutes after a successful payment, write in with the account email address and the payment time.
